Privacy policy

Your privacy is important to us. This is the Privacy policy of the websites of Barco NV and its subsidiaries (“Barco”). Barco NV is a public limited liability company incorporated under Belgian law, with registered office at President Kennedypark 35, 8500 Kortrijk, Belgium.

This Privacy policy can be modified, e.g. as a result of new functionalities on the Barco website that require the processing of personal data. We thus advise you to check this Privacy policy regularly. Any major changes will be notified via our website. 

 

1. When does this Privacy policy apply?

This Privacy policy applies to the processing of personal data obtained via the website of Barco.

 

2. Who is responsible for the processing of your personal data?

Barco is the party responsible for the processing of your personal data. This means that Barco determines for what purposes and with what means your personal data will be processed.

Barco has appointed a Data Protection Officer (DPO) who will be your point of contact for any questions or requests regarding the processing of your personal data. The contact details of the DPO can be found under point 8 of this Privacy policy.

 

3. When, why and which personal data do we process about you?

3.1 When you visit the website

When you visit the Barco website, we collect a limited amount of personal data (such as the time and duration of your visit, the hyperlinks that you clicked which brought you to our website and the hyperlinks on our website which link to other websites, the pages you visit, the browser you use, geographical data such as your location and your preferred language) necessary for the management and operation of the website. With your consent, we also collect other personal data, for example to optimise the user experience on our website or for analytical and statistical purposes. We therefore ask you to read Barco’s cookie policy  when you visit our website. The cookie policy explains what cookies are, what cookies Barco uses and how you can change your cookie preferences. Our cookie policy can always be found on our website.

3.2 When you contact us

The Barco website contains various forms through which you can contact Barco, each for a different purpose: contacting us via the contact form, filling in a form on our website (e.g. quote, demo requests, …), logging a case for technical questions (“eSupport”), asking for service support or asking us questions by e-mail.

In these cases, we receive information such as your first name, last name, e-mail address, telephone number, job title, areas of interest or industry, address details (street, number, postcode, city, country), the product you are interested in, your position, your correspondence with Barco, your relationship with Barco (partner type), your market and application segment preferences and other personal and/ or contact details. 

These data are processed based on Barco’s legitimate interest in properly responding to the questions and/or requests.

3.3 When you download gated content (e.g. brochures or drivers) 

From time to time, Barco makes online materials available for download from our website. If you choose to download these materials, we will ask for your name, your e-mail address your company, industry, job title and your country.

These data are processed based on Barco’s legitimate interest in knowing who has an interest in Barco products and services.

3.4 Direct marketing

If you have expressly consented to receive our marketing communication or if you have previously ordered a Barco product or a service, we will, from time to time, contact you with information about our products and services and latest offers. 

For this purpose we process data such as your name, your address, your e-mail address, your telephone number, job title, areas of interest or industry, address details (street, number, postcode, city, country), your preferred language, project or the region in which you are interested, your position, your correspondence with Barco, your partner types, your market and application segments and other personal and/ or contact details.

These data are processed based on the following grounds: 

• Your unambiguous consent: you have requested to be kept informed or have ticked the consent box at the end of the form; or

• Barco’s legitimate interest in informing you about its activities: if you have previously ordered a Barco product or a service, we will keep you informed about the same or similar products or services.

If you want to revoke your consent or you no longer want to receive Barco marketing communication, you can tick the “unsubscribe” button present in Barco’s marketing communication or you can adjust your settings in the Privacy Preference Center.

3.5 For administration and organisation of events or webinars

We process personal data when you register for a live/virtual event or webinar hosted by/at Barco, to reserve a place for you at the event or webinar, to provide information about the event or webinar for which you have registered, for general administration and organisation of the event or webinar, to ask you for your feedback or review after an event or webinar you have attended and to plan better future events or webinars and attendee experience. 

For this purpose we process personal data such as your name, e-mail address, telephone number, address details (street, number, postcode, city, country), job title, the event you wish to attend, your position and other personal and/ or contact details.

These data are processed based on Barco’s legitimate interest as event or webinar organiser.

3.6 When creating a myBarco account

We process personal data when you create a personal myBarco account. When you sign into your myBarco account, we create a record of your sign-in, which includes the date and time, your sign-in name and the unique number assigned to your account. Signing into your account enables improved personalization, the possibility to follow a Barco training, ask for service support and other enhanced features and settings. 

For this purpose we process data such as your name, your e-mail address, your preferred language, your company name, country, your Barco contact and your sector or industry, your job title and the reason for creating a myBarco account. 

These data are processed based on Barco’s legitimate interest in knowing who creates a myBarco account and for what purpose.  

3.7 If you take part in a Barco certified training program

We process personal data when you take part in a Barco certified training program for which you have created a myBarco account. 

For this purpose we process data such as your name, country, your e-mail address and your company name. 

It is in the legitimate interest of Barco as a company to be able to inform its trainees abouts its training initiatives and for administration purposes.

3.8 If you are a (potential) customer of Barco

Barco processes personal data relating to contacts at its customers for business and administrative purposes, including in particular (i) managing the relationship with the customer or potential customer; (ii) submitting project proposals to the customer or potential customer; (iii) executing the agreement with the customer or taking measures prior to the conclusion of such an agreement; (iv) protecting the economic interests of Barco, ensuring compliance and carrying out reporting duties (such as compliance with our applicable policies and legal obligations, managing of any alleged cases of misconduct or fraud, conducting audits and pursuing or defending legal claims; (v) managing mergers and acquisitions involving Barco; (vi) filing and maintaining records; (vii) billing purposes. 

For this purpose, we process your name, telephone number, email address, country, company, job title and any other personal data which you voluntarily provide to us.

It is in the legitimate interest of Barco as a company to be able to properly carry out customer administration and customer relationship management tasks, as well as to be able to properly fulfil the agreements it has entered with its customers. 

3.9 If you are a (potential) supplier of Barco

Barco processes personal data relating to contacts at its suppliers for business and administrative purposes, including in particular (i) managing the relationship with the supplier or potential supplier; (ii) executing the agreement with the supplier or taking measures prior to the conclusion of such an agreement; (iii) protecting the economic interests of Barco, ensuring compliance and carrying out reporting duties (such as compliance with our applicable policies and legal obligations, managing any alleged cases of misconduct or fraud, conducting audits and pursuing or defending legal claims; (iv) managing mergers and acquisitions involving Barco; (v) archiving and maintaining records; (vi) payment purposes. 

For this purpose, we process name, telephone number, email address, country, company, job title and any other personal data which you voluntarily provide to us.

It is in the legitimate interest of Barco as a company to be able properly to conduct supplier administration and supplier management tasks, as well as to be able to properly fulfil the agreements it has entered with its suppliers. 

3.10 Access to Barco applications & portals

We process personal data when you register yourself as user via auth.barco.com. When you sign into auth.barco.com, we create a record of your sign-in. Signing into auth.barco.com provides legitimate access to Barco applications & portals, a personalized experience and enables to request for service support.

For this purpose, we process data such as your name, your e-mail address, your country, your preferred language and your company name. 

These data are processed based on the following grounds: 

• The performance of a contract to which the organization you work for is a part; or 

• Barco’s legitimate interest in securing the access to Barco applications & portals.

3.11 Chatbot

We only process personal data that is specifically and voluntarily provided by visitors to the Chatbot. Barco receives limited personal data, such as email address, first name, last name, company name and telephone numbers from Chatbot users. Demographic information and occupation, is not actively sought, but may be submitted when a user interacts with the Chatbot. It is Barco's policy to limit the information collected to only the minimum information required to complete a user's request. Our intention is not to seek any sensitive information through the Chatbot. We suggest that you do not provide sensitive information. 

We will process your data in order to be able to grant you access to and allow your use of the Chatbot. We will only process your personal data for as long as it is necessary for the purpose listed above and as long as your access to the Chatbot is not deactivated. 

In order to get answers to your questions and other services that the Chatbot offers, the data you give to the Chatbot will be processed via Barco’s customer relationship management platform. 

It is in the legitimate interest of Barco as a company to process the personal data that you have chosen to provide to us.

3.12 Social media

Barco processes Personal Data obtained through social media platforms (including Facebook, Instagram, LinkedIn, YouTube and Twitter) when something is Barco-related or directed to Barco in order to (i) respond to enquiries or complaints in the first line, (ii) monitor our online reputation, (iii) integrate the testimonials about Barco and our services that you make public into our internal and external communications, and (iv) improve our products and/or services and identify opportunities for Barco to focus on.

Some of our web pages on social media allow users to post their own material. Please remember that all material posted on our social media is accessible to – and can therefore be seen by – the public. Barco is not responsible for the processing of personal data via these platforms.  Barco advices you to check the privacy policies and the terms and conditions of these platforms.

For the above purpose we processes your name, username, email address and any other personal data relevant to the purposes described above and which you decide to share with us or that you publish on social media.

These data are processed on Barco’s legitimate interest as a company to process the personal data that you have chosen to address to us or which you have made publicly available via social media platforms in order to improve services, to identify business opportunities and to strengthen our internal and external communication, given that in this context, we always ensure that your interests are also safeguarded.

3.13 Star rating

4. Who has access to your personal data?

We share your personal data with third parties to perform certain (processing) activities or for Business Purposes under the California Consumer Privacy Act (CCPA):

• processors who act on our behalf, such as e.g. marketing and communication companies;

• processors who provide services for the creation, deployment, analysis and administration of surveys;

• business partners with whom we carry out joint promotions or programs;

• distributors and resellers who are authorized to sell Barco products in order to provide sales services;

• business partners who provide service support;

• service providers for hosting the websites;

• eCommerce solution providers;

• IT service providers that provide technical support;

• payment service providers;

• customer relationship management solution;

• supplier management solution;

• license management systems;

• enterprise resource planning systems;

• external organisations providing services for events/webinars;

• mobile application providers for planning, management and analysis of events/ webinars;

• in certain cases Barco transfers your personal data to attorneys and external advisors if this is necessary to give us advice or to defend our rights;

• supervisory authorities in case of a lawful request;

• possible acquirers of the whole or part of Barco in the event that (a part of) our activities would be taken over by a third party.

Personal information is not sold by Barco within the meaning of the CCPA. 

Your personal data may be transferred to and/or accessible globally by Barco’s affiliated and unaffiliated service providers, including in countries where we operate and countries outside of the EEA in which the level of data protection may not be as high as within the EEA.  Barco complies with applicable legal requirements and provides an adequate level of data protection regardless of where the data are transferred or accessed. Barco also ensures that data processing is conducted in accordance with applicable data protection laws. For transfers of personal data outside the European Economic Area (EEA) Barco relies on the standard contractual clauses approved by the European Commission.

Personal data are not provided to other parties, unless required by law or pursuant to a court order.

 

5. How long do we keep your personal data?

Barco will retain your personal data in a form which permits identification for no longer than needed

• for the purposes for which it was collected;

• for the term of the contract; or

• as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.  

 

6. How are your personal data protected?

Barco strives to protect your personal data by means of technical and organisational measures, such as firewalls and secured servers that may only be accessed by a limited number of persons holding special access rights and with respect to the nature of the data.

Despite these measures, due care should be taken when storing and/or sharing your personal data and login, particularly when connecting via unsecure or public networks.

 

7. Collection and use of children's personal data

Our website is not intended for use by children under the age of 13. We do not knowingly collect personal data from children under the age of 13 through our website. If you are under 13 years of age, please do not submit any personal data through our website without the express consent and participation of a parent or guardian. If we learn that we have collected the personal data of any such individual, we will take steps to delete the data as soon as possible.

 

8. What are your rights and how can you exercise them? 

You have a number of rights with regard to your personal data, such as the right of access, the right to rectification of inaccurate personal data, the right to erasure or restriction of processing, the right to data portability and the right to object to the processing. Some of these rights have a very specific scope or are subject to special conditions or exceptions. Please contact our DPO for any questions or requests regarding the processing of your personal data (dataprotection@barco.com).

You also have the right to lodge a complaint with the supervisory authority of your habitual residence, your place of work or the place of an alleged infringement. The Belgian Data Protection Authority is the supervisory authority for Belgium and can be contacted at contact@apd-gba.be.

Under the CCPA, you have the right to request a disclosure of the personal information Barco has collected about you during the prior 12 months, to request deletion of your personal information, to request a disclosure of your personal information Barco has sold or shared with third parties during the prior 12 months, or to seek information from Barco about your rights under the CCPA.  To exercise any of these rights or ask additional questions, you may email dataprotection@barco.com, or send a letter to our U.S. office at :
