8.5 Conferencing in a room system

Conferencing configuration in room systems

Room system configurations require the meeting room account to join the meeting in the conferencing app. Meetings without inviting the room account or that use an incompatible conferencing app are limited. In this situation, ClickShare temporarily switches the configuration to remove these limits. After the meeting, ClickShare automatically switches the configuration back to the room system.

Conferencing app
A conferencing application sends audio, video and content over the internet to and from the participants. Joining a meeting through a conferencing app is seen as being a remote participant.
Prerequisites

The user device must be connected to the ClickShare using a Button before joining the meeting. For more information, see “Button connection”.

How to switch
  1. Join the meeting or call through the conferencing app.
  2. Select the ClickShare room peripherals as camera, microphone and speaker. For more information, see the documentation of the conferencing app.

    The Control Panel switches to conference mode.

  3. Use the room peripherals during the meeting:

    • Share content to the meeting attendees. For more information on how to share locally, see “Presenting with ClickShare”. For more information on how to share to the remote participants, see the documentation of the conferencing app.
    • Tap the (reference 2) to mute or unmute the microphone.
    • Tap the (reference 3) to increase the volume, the (reference 6) to decrease the volume and (reference 4) to mute or unmute the speakers.
    • Tap the (reference 7) to show or hide the room camera feed in the meeting.
    Note: The peripheral settings on the Control Panel are not linked to the peripheral settings in the conferencing app. Meaning, when the microphone is muted in the conferencing app and unmuted on the Control Panel, then the remote participants are not able to hear anything. The microphone must be unmuted on both before the audio is sent to by the conferencing app.

  4. Return to the room system configuration using one of the following methods:

    • In case the call must continue, disconnect the Button. For more information, see “Disconnecting the Button”.
    • In case the call is finished, leave the meeting call in the conferencing app. For more information, see the documentation of the conferencing app.

    The Control Panel switches to room system mode.
