Product privacy statement

I. General information

This product privacy statement is applicable to various products of Barco NV and its subsidiaries (“Barco”)  is a public limited liability company incorporated under Belgian law, with registered office at President Kennedypark 35, 8500 Kortrijk, Belgium.

This Product Privacy Statement provides transparency and accountability in how Barco products handle personal data,

The Product Privacy Statement consists of two parts.

  1. In a first general section (section I) we provide general information which is applicable to almost any Barco product.

  2. In the second section (section II), the product-specific sections, we describe our data collection practices applicable to specific Barco products. In case of contradictions between the general privacy information of Barco and the information in a product-specific section, the information in the product-specific section will take precedence.


This Product Privacy Statement can be modified, e.g. as a result of new functionalities of the Barco products. We thus advise you to check this Product Privacy Statement regularly. Any major changes will be announced via our homepage: Change history - Barco.

Section I : General Information on the collection of personal data

1. When does this privacy statement apply and what does it govern?

Your privacy is important to us. This section applies to processing of personal data through Barco Products.

Barco offers a wide range of products from projectors, display systems, medical devices, wireless presentation systems, video walls, services, and software. References to Barco products in this Privacy Statement include hardware, software and services as relevant.

This Product Privacy Statement does not apply to other processing of personal data by Barco which is not related to Barco products. In such cases the general Privacy Policy available on our website will apply.

2. Who is responsible for the processing of your personal data?

Barco products are intended for use by organizations (“end users”) and are administered and controlled by these end users. 

When your organization, as an end user, is using a Barco product, your organization is responsible for the processing of these personal data through the Barco product and is hence the data controller. This means that your organization determines for what purposes and with what means the personal data are processed.

If you as a data subject wish to exercise your rights as described under the last section of this Product Privacy Statement, you will have to address the end user in the first place. In this case Barco will not have the right to directly assist you.

BARCO ACTING AS A PROCESSOR – For some products, Barco processes personal data on behalf of end users; in those cases, Barco acts as a processor, e.g. when Barco is managing the hosting environment of the Barco product. In that respect, Barco has created a data processing annex as part the End User License Agreement that includes all the terms and conditions applicable to the processing of such personal data by Barco as data processor with the aim of ensuring that the Parties comply with the applicable data protection laws.

BARCO ACTING AS A CONTROLLER - In addition to the above, Barco also processes personal data on its own initiative for the purposes explained below, without receiving instructions from the end user. Regarding these processing activities, Barco itself is responsible for processing, and therefore data controller next to the processing activities by the end user. Barco only processes the personal data related to the provision of products and services in limited cases; all these cases are explained in this Product Privacy Statement.

Barco has appointed a Data Protection Officer (DPO) who will be your point of contact for any questions regarding this Product Privacy Statement. The contact details of the DPO can be found under point 8 of this section of this Product Privacy Statement. 

3. Which personal data does Barco process about you?

The personal data Barco collects as a data controller depends on the context of interactions with Barco, the choices you make, including your privacy settings and the Barco products you use. 

We collect personal data in two ways: 

i) Information provided by you

  • Contact data: name, email address, phone number, address, job title, and correspondence with Barco.
  • Login data: username, email address, and IP address when you access Barco products or services.
  • Support data: information related to support or maintenance requests, including communications, product details, error reports, log files and system information.
  • Feedback data: content of feedback, product or service reviews and related contact details.

ii) Information collected automatically

  • Product usage data: data about how you use Barco products, selected features and settings, performance data, diagnostics information and data created using Barco products or related services.
  • Device and technical data: hardware model, operating system, IP address, MAC address, device certificates and similar identifiers.

4. For what purposes does Barco process the personal data?

Barco processes personal data as a data controller for the purposes described below. More detailed, product-specific information is available in the relevant sections of this Product Privacy Statement.

Some Barco products may use AI to achieve these purposes. Where required by law, we will inform you when you interact with AI systems or AI-generated content. Additional information on AI use, including its logic and potential impact, may be provided in product documentation.

a) Product registration and license activation

We use personal data to register Barco products and activate licenses via platforms such as activate.barco.com and insights.barco.com. Following products require product registration through www.activate.Barco.com or https://insights.barco.com: projectors (UDX and UDM), Video walls (UniSee, LCD video walls, RPC video walls), XMS Edge and UniSee present for Windows (UPW). Following Barco products require license activation through www.activate.barco.com: Nexxis, NexxisLive and Enterprise Virtual Matrix (EVM).

For this purpose we process personal data such as contact data, unique device identifiers, device data and installation location.

These personal data are processed on the basis of the performance of a contract.

b) Product support and maintenance

We process personal data to provide support, maintenance, repairs and lifecycle-related communications (e.g. warranty, license expiry, end of service, and security updates).

For this purpose we process personal data such as contact data, support data, product usage data and device, connectivity and configuration data.

c) Product improvement and security

We use personal data to analyse product performance, improve functionality, prioritize new features, prevent fraud, validate licenses and protect product security. We process data to deliver security updates during the support period and to inform you about critical security issues or incidents.

Depending on the individual case, this personal data is processed on the basis of the performance of a contract, on the basis of a legal obligation or Barco’s legitimate business interests such as, without being limited to improving and securing the Barco products, systems and services and conducting research and development.

5. Recipients of personal data and international transfers

Barco discloses personal data only to carefully selected recipients and ensures that appropriate technical and organisational measures are in place to protect the confidentiality and security of personal data.

Personal data may be shared within the Barco group, for example for technical support, research and development, and internal business operations.

Barco may also disclose personal data to third parties acting as processors or, where applicable, as independent controllers, for the following purposes (including “business purposes” under the CCPA):

  • cloud and IT service providers supporting our systems and services;
  • business partners providing installation, maintenance and customer support services;
  • service providers assisting with product security, fraud prevention and system protection;
  • professional advisors, including lawyers and auditors, where necessary to obtain advice or defend Barco’s legal rights;
  • competent supervisory or regulatory authorities where required by law;
  • potential purchasers or successors in the context of a merger, acquisition or transfer of all or part of Barco’s business.

Barco does not sell personal information within the meaning of the California Consumer Privacy Act (CCPA).

Personal data may be transferred to, or accessed from, countries outside the European Economic Area (EEA), including countries where data protection laws may differ from those in the EEA. In such cases, Barco ensures an adequate level of protection in accordance with applicable data protection laws, including the use of standard contractual clauses approved by the European Commission.

Personal data will not be disclosed to other parties unless required by applicable law or a binding court order.

6. How long do we keep the personal data?

Personal data is retained for as long as necessary for the purposes for which it is processed. Retention periods are determined based on the duration of the contractual relationship, applicable legal and regulatory obligations and relevant limitation periods for legal claims.

7. How are your personal data protected?

Barco protects personal data through appropriate technical and organisational measures designed to ensure a level of security appropriate to the risk. These measures include secured systems and restricted access to personal data, limited to authorised personnel only.

8. Collection and use of children's personal data

The Barco products are not intended for use by children under the age of 13. We do not knowingly collect personal data from children under the age of 13 through the use of Barco products. If you are under 13 years of age, please do not submit any personal data through Barco products without the express consent and participation of a parent or guardian. If we learn that we have collected the personal data of any such individual, we will take steps to delete the personal data as soon as possible.

9. Your rights 

You have certain rights in relation to your personal data, including the right to access, rectify or erase your personal data, restrict or object to processing, and, where applicable, the right to data portability. Some rights are subject to conditions or legal exceptions. You may object at any time to the processing of your personal data based on Barco’s legitimate interests, on grounds relating to your particular situation.

To exercise your rights or ask questions about the processing of your personal data, you may contact Barco’s Data Protection Officer at dataprotection@barco.com.

You also have the right to lodge a complaint with the competent supervisory authority, in particular in the EU Member State of your habitual residence, place of work, or where an alleged infringement occurred. In Belgium, this is the Belgian Data Protection Authority (contact@apd-gba.be).

10. Additional rights under U.S. state privacy laws

Where applicable under the California Consumer Privacy Act (CCPA) and other U.S. state privacy laws, you have the right to request information about the personal information Barco has collected, shared, or disclosed, and to request deletion of your personal information.

If you are not satisfied with the response to your request, you may submit an appeal via ethics@barco.com. Where required by applicable U.S. law, you may also lodge a complaint with the competent state authority.

Section II : Product specific privacy information

1. MediCal QAWeb

MediCal QAWeb is the online service for high-grade quality assurance for PACS display systems. Medical QAWeb is compatible with Barco diagnostic and clinical displays and non-Barco displays.

MediCal QAWeb functionalities manages the following data:

MediCal QAWeb Agent

  • Workstation data: computer name, operating system (name and version), QAWeb Agent version
  • Workstation devices: connected monitors (brand, model name, serial number, firmware version), graphics card (brand, model, serial number, driver version), luminance Sensors (brand, model, serial number)
  • Calibration: results of monitor calibration
  • Quality Assurance / compliance: results of Quality assurance tests / compliance tests
  • a central overview of all the workstation on which a QAWeb Agent is running (asset management) – data are sent with regular intervals;
  • a central overview of all devices that are of importance for the display of medical images connected to the workstation (asset management) – data are sent with regular intervals, and when devices are connected or disconnected;
  • a central overview of calibration status and detailed QA measurements values;
  • a central overview of the compliance test results on all workstations (capable of generating notifications).

The MediCal QAWeb Agent does not store any user identification data or any patient related data.

MediCal QAWeb Relay

The relay does not store data from the MediCal QAWeb Agents; it forwards information received from the Agents to the MediCal QAWeb online service.

Barco is managing the hosting environment for MediCal QAWeb and is hence a processor of the organization which uses the product. Barco engaged the Microsoft Azure Services of the Microsoft Corporation as sub-processor in order to provide cloud services (region: North Europe, location: Ireland https://azure.microsoft.com/en-us/global-infrastructure/locations/ )

MediCal QAWeb hosted server application

  • Account information
    We collect information about the individual user and his organization as it is entered in the application.

    For this purpose we process contact data. On the organization level, the main contact details (name, business address and phone number) of key users are stored in order to enable Barco to make contact for support purposes.

    The data is processed on the basis of the performance of a contract.
  • Web logs
    The MediCal QAWeb hosted server application contains internal audit logs of user activity occurring through interaction on the website (user login, configuration changes).

    This is needed to be able to provide the necessary support and troubleshooting and also to create an audit trail when changes to configuration are made. The data is processed on the basis of the performance of a contract.

2. WeConnect

WeConnect is a subscription-based solution which offers a new way to optimize collaboration experiences. It supports BYOD devices through seamless network integration and promotes interaction for both in-room and remote participants. The host is in this case end user and hence the data controller.

WeConnect functionalities provide the following data:

Data viewable by the attending audience

  • Screen sharing content is visible to the audience
  • Whiteboard content is visible to the audience attending the session
  • Silent questions, chat messages and whiteboard annotations by individual participants are visible to the audience attending the session

Data viewable when joining a session from a remote location

In order to enable participation to a session by remote participants and create an interactive experience, the following data are shared:

  • Camera video and microphone audio of the personal device of the participant are permanently exposed to the participants s who are on-site in the same room as the host
  • Camera video and microphone audio of the personal device of the participantcan be shared with other remote participants when voice activity is detected or during a debate session. Whenever this happens an "on-air" indicator is visible in the self-view image
  • The participant can turn on/off either her camera or his microphone
BARCO ACTING AS A PROCESSOR

Barco is managing the hosting environment for WeConnect and is hence a processor of the organization which uses the product. Barco engaged Amazon Web Services Inc. as sub-processor in order to provide cloud services (eu-west-1, EU (Ireland) https://aws.amazon.com/about-aws/global-infrastructure/). Barco engaged MongoDB Atlas of Mongo DB Inc., as sub-processor (https://www.mongodb.com/security) for database services and Vonage Business Limited as sub-processor for audio and video streaming services https://www.vonage.com/legal/privacy-policy/?icmp=footer_novalue_privacy.

BARCO ACTING AS A CONTROLLER  

In order to activate/use the service

  • Login data such as user name, email address and IP address in order to activate the service. The user has to confirm the login creation via email.
  • In case “Single Sign On” is not activated for the institute, the password chosen by the user is stored in a secure way. Barco has no access to the passwords.
  • Uploaded avatar picture to identify the participant in the session.

The data is processed on the basis of the performance of a contract.

  • In order to evaluate the session
    Session related information such as attendance, answers to polls and quizzes, start/stop screen sharing, chats, raise hands, silent questions and whiteboard annotations.

    The data is processed on the basis of the performance of a contract and/or on the basis of Barco’s legitimate interest to continually improve its products.

  • In order to provide support
    When joining a lecture from a remote location audio and video streaming data and settings are collected in order to optimize the connection between the participant and the host:
    • The selection by the user of what content is shown in main area of the user interface, mute/unmute actions for microphone and camera.
    • Video/audio streaming quality related information such as packet loss, bandwidth, stream (dis)connection info, selected camera and microphone and screen resolution are stored.
    • Camera and microphone settings for reuse in next sessions.

    The data is processed on the basis of the performance of a contract and/or on the basis of Barco’s legitimate interest to continually improve its products.

3. Barco XMS Cloud

Barco XMS Cloud is Barco’s central management solution for ClickShare devices. It is a cloud‑based solution consisting of a gateway (XMS Edge or XMS Virtual Edge) and a cloud dashboard. The gateway enables on‑premises monitoring, diagnostics, and maintenance of ClickShare devices, while the cloud dashboard provides a consolidated and remotely accessible overview across multiple sites.

Barco acts as a processor when providing XMS Cloud, as it manages the hosting environment on behalf of the customer organization.

Barco uses Microsoft Azure (Microsoft Corporation) as a sub‑processor
(region: North Europe, Ireland – https://azure.microsoft.com/en-us/global-infrastructure/locations/).

Barco also uses Amazon Web Services, Inc. as a sub‑processor
(region: eu‑west‑1, EU (Ireland) – https://aws.amazon.com/about-aws/global-infrastructure/).

MongoDB Atlas (MongoDB, Inc.) is used as a sub‑processor for database services 
(https://www.mongodb.com/security).

  • Service activation
    To activate XMS Cloud, users must create a myBarco account, which is used for secure authentication and access to the XMS Cloud portal.
    The processing of personal data for myBarco accounts is described in the Barco.com Privacy Policy.
    The installing user creates the organization tenant and receives a confirmation email upon completion of the registration.
    The data is processed on the basis of the performance of a contract.

  • Use of the service and support
    Barco processes login and contact data (such as username, email address, and IP address) to enable use of the service. Contact details of designated key users (name, address, phone number) are processed to provide technical support, including break/fix and field support.
    The data is processed on the basis of the performance of a contract.

  • Product improvement
    Barco collects pseudonymised usage data of the XMS Cloud platform to generate statistics, analytics, and insights for product improvement.

  • Information about updates
    Barco processes the name and email address of the organization’s key user to inform them about security updates or temporary service unavailability due to updates.

  • In- app notifications
    Barco uses in‑app notifications to inform users about issues related to their installation base.For this purpose we process your contact data such as your name and email address.

 

  • Email notifications
    These data are processed on the basis of the individual user’s unambiguous consent. The user can at any time revoke its consent in the notification centre in XMS Cloud.

4. QAWeb Enterprise

QAWeb Enterprise is a cloud‑based quality assurance service for medical display systems and is the successor to Medical QAWeb. The service enables healthcare organizations to ensure consistent image quality, system uptime and lifecycle management of all PACS display systems across the organization. QAWeb Enterprise is compatible with both Barco and non‑Barco diagnostic and clinical displays.

System components

QAWeb Enterprise consists of the following components:

  • QAWeb Enterprise Agent
  • QAWeb Enterprise Server

QAWeb Enterprise Agent is installed on every workstation which is intended to be connected to the QAWeb Enterprise Server.

Data processed by the QAWeb Enterprise Agent

The QAWeb Enterprise Agent processes technical and operational data and transmits this data to the QAWeb Enterprise Server, including:

  • Connected devices: monitors (brand, model, serial number, firmware version), graphics card (brand, model, serial number, driver version), luminance sensors (brand, model, serial number)

  • Calibration data: monitor calibration results

Quality assurance and compliance data: results of executed QA tests
 

Data processed by the QAWeb Enterprise Server
The QAWeb Enterprise Server processes this data to provide the following functionalities:

  • a centralized overview of all workstations running the QAWeb Enterprise Agent (asset management), with data sent at regular intervals;
  • a centralized overview of display‑related devices connected to workstations, including updates when devices are connected or disconnected;
  • monitoring of calibration status and detailed QA measurement values;
  • centralized reporting of QA test results across workstations, including notification capabilities.

The QAWeb Enterprise Agent and QAWeb Enterprise Server do not process or store patient data or individual end‑user identification data.

 BARCO ACTING AS A PROCESSOR

When providing QAWeb Enterprise, Barco acts as a processor by managing the hosting environment on behalf of the customer organization.

Barco uses Amazon Web Services, Inc. as a sub‑processor to provide cloud infrastructure services

(region: eu‑west‑1, Ireland – https://aws.amazon.com/about-aws/global-infrastructure/regions_az/).

  • Service activation and use

To activate and use QAWeb Enterprise, users provide information via the QAWeb Enterprise signup portal (https://signup-qaweb.healthcare.barco.com)

Barco processes information about the user and the user’s organization as entered in the application. For this purpose, Barco processes contact data such as name, email address, business address and phone number.
The data is processed on the basis of the performance of a contract.

  • Support and audit logging

To provide technical support and ensure traceability of configuration changes, Barco processes audit logs of user activity in the QAWeb Enterprise web client (such as user logins and configuration changes)

Audit logs are encrypted at rest and subject to strict access controls.

These logs are used to provide support and to maintain an audit trail for configuration changes, including changes to quality assurance policies, users, permissions and organizational structure.

For support purposes, Barco also processes contact data such as name, email address, business address, and phone number. At organization level, the contact details of designated key users are processed to enable Barco to contact them for support purposes.
The data is processed on the basis of the performance of a contract.

5. Insights Management Suite

Insights Management Suite is Barco’s cloud‑based platform that enables users to centrally manage and monitor a fleet of projectors. The platform consists of a gateway embedded in the projector software, which enables communication between the projector and the cloud and a cloud dashboard providing fleet management functionalities such as usage monitoring and remote diagnostics.

When providing Insights Management Suite, Barco acts as a processor by managing the hosting environment on behalf of the customer organization.

Barco uses Microsoft Azure (Microsoft Corporation) as a sub‑processor to provide certain cloud services 
(region: North Europe, Ireland – https://azure.microsoft.com/en-us/global-infrastructure/locations/).

Barco also uses Amazon Web Services, Inc. as a sub‑processor to provide certain cloud services 
(region: eu‑west‑1, EU (Ireland) – https://aws.amazon.com/about-aws/global-infrastructure/).

  • Service activation and use
    To activate and use Insights Management Suite, Barco processes information about the user and the user’s organization as provided during the projector registration and
    The data is processed on the basis of the performance of a contract.
  • Information about updates and outages
    To inform users about updates or service outages, Barco processes contact data such as name and email address. This processing is carried out to inform users about security updates and temporary unavailability of the platform.
    The data is processed on the basis of Barco’s legitimate interest of informing users about security and availability of the platform.

6. ClickShare

ClickShare is a wireless presentation and conferencing solution that enables users to share content from personal devices to a meeting room display and to use meeting room cameras and speakerphones during conference calls.

A ClickShare setup typically consists of these components:

  • the ClickShare Base Unit connects to the meeting room display, camera and speakerphone and processes shared content as well as audio and video streams from connected peripherals.

  • The ClickShare Button is connected to the user’s computer to establish a wireless connection with the Base Unit and exposes room audio and video as USB devices.

  • The ClickShare Desktop App can be used with or without a Button on macOS and Windows devices and processes shared content (full screen or selected applications). It may also locally access calendar information from the user’s Microsoft Outlook client to display meeting details in the application.

  • The ClickShare Mobile App allows users to share content from iOS and Android devices through a wireless connection with the Base Unit and processes screen content for this purpose.

    Data visible to people in the meeting room
    When using ClickShare, certain data may be visible to people present in the meeting room:

  • Content shared by a presenter is visible to all participants in the room. When sharing a full desktop, pop‑ups, notifications or open windows may also become visible.

  • Shared content may be transmitted to remote participants in a conference call and may be subject to snapshot taking (ClickShare Conference, ClickShare Hub).

  • Meeting room audio and video may be shared with remote participants and may be subject to recording or snapshot taking.
  • For ClickShare Bar Core and Bar Pro models, the camera feed may be accessed by an IT administrator via the ClickShare Web Configurator for remote device management. 
    A visual notification and a 30‑second countdown are displayed in the meeting room when such access is requested.
  • ClickShare Button (5th generation) allows users to share content from mobile devices via USB‑C DisplayPort through a wireless connection with the Base Unit.

Data visible when joining from a remote location
When joining a ClickShare session remotely:

  • Content shared by remote participants may be displayed on the meeting room screen by the host and may be subject to snapshot taking.
  • Camera video and microphone audio from a remote participant’s device may be shared with participants in the meeting room.
     

ClickShare Desktop App - One Click Join

For the One Click Join functionality, the ClickShare Desktop App locally processes meeting information from the user’s Microsoft Outlook client, such as meeting title, start and end time, location, and conference call links. The application uses the Messaging Application Programming Interface (MAPI) to access calendar information within the privilege context of the logged‑in user. This information is displayed only to the user on their device. No meeting data is stored, logged, cached or transmitted to Barco. Only meeting time, subject, location and join links are processed

Feedback and ratings

After using the ClickShare Desktop or Mobile App, users may provide a star rating and optional feedback. Barco only receives the number of stars and any optional feedback provided. No personal data is processed for star ratings. This information is used to measure overall satisfaction and assess the impact of product improvements.

Microphone usage (PresentSense)

The ClickShare Desktop App and Mobile App may use ultrasound signals emitted by the ClickShare Base Unit to detect user presence in a ClickShare‑enabled meeting room. All non‑ultrasound frequencies are filtered out. No audio is stored or transmitted to Barco.

Motion Sensor usage

The ClickShare Control Panel may be equipped with a PIR motion sensor to detect presence and wake the ClickShare Base Unit from standby mode. No motion data is stored or transmitted to Barco.

  • Installation and use of the ClickShare Desktop App
    Barco processes device‑specific technical data, such as hardware model, operating system version, unique device identifiers and network information.
    These data are processed on the basis of the performance of a contract with Barco to which you are a party, being the provision of the services while you make use of the application.
  • Use of the ClickShare Mobile App
    Barco processes limited location data and product interaction data, not linked to the user’s identity, to enable application functionality.
    These data are processed on the basis of the performance of a contract with Barco to which you are a party, being the provision of the services while you make use of the application.
  • Product Improved
    To improve the ClickShare applications, Barco processes pseudonymised or non‑identifying technical and usage data, such as device characteristics, operating system version, regional settings, network information and feature usage.
    Barco processes this data for its legitimate interest to gain insight in the use of the application in order to improve its application. 

7. MirrorOp App

The MirrorOp Desktop App (MirrorOp Sender) allows users on Windows, macOS and Chromebook devices to connect to meeting rooms and classrooms equipped with authorized receivers (such as wePresent receivers), enabling real‑time screen sharing and remote desktop functionality. The MirrorOp Mobile App (MirrorOp Presenter) enables users on iOS and Android devices to share content from their devices to a display in workplace or classroom environments. MirrorOp Presenter includes additional features such as a built‑in browser, live camera sharing, and annotation tools to support flexible presentation use cases.

  • Installation and use of the MirrorOp Apps
    To download and use the MirrorOp Desktop App and MirrorOp Mobile App, Barco processes certain personal data related to the use of the applications. Barco processes personal data when you download and use the applications. Barco also processes device and technical data, such as hardware model, operating system version, unique device identifiers, and network information.
    These data are processed on the basis of the performance of a contract with Barco to which you are a party, being the provision of the services while you make use of the MirrorOp application functionality.

The solution consists of a gateway deployed on the end‑user’s premises that connects to local media infrastructure and a hosted SaaS portal providing service management and remote collaboration functionalities.

10. Helios

Helios is a cloud‑based application designed to monitor projector usage in support of SmartCare warranty contracts. The application processes data about projector configuration and usage, contract details and projector installation location to determine whether contractual obligations are being met and to provide guidance on bringing a projector into compliance.

11. Barco Pulse Mobile App

The Barco Pulse Mobile App enables users to connect to control, configure and monitor one or more Barco projectors from a mobile device. Users can perform installation, configuration, control and monitoring tasks for multiple projectors remotely via their personal mobile device.

System setup requirements :

  • One or more Barco projectors installed and connected to a local area network (LAN), via wired or wireless (Wi‑Fi) connection; and

  • An iOS or Android device with the Barco Pulse Mobile App installed and connected to the same LAN as the projectors.

Data processed and stored on the user’s device
The Barco Pulse Mobile App processes and stores limited technical data locally on the user’s device, including:

Hostname, IP address, and model of discovered Barco projectors, combined with an expiring JSON Web Token (JWT) obtained after first login per projector to enable authenticated access.
This data is stored locally on the user’s device and is not transmitted to Barco.

Projector discovery and network access
Users may add projectors to their device list either by manually entering a hostname or IP address or by selecting automatically discovered projectors. Projectors are discovered via the Simple Service Discovery Protocol (SSDP) when the app is connected to the same LAN. For this purpose, the app requests permission to access the local network.

Feedback and ratings
After using the Barco Pulse Mobile App, users may provide a star rating and optional feedback. Barco only receives the number of stars and any optional feedback provided. No personal data is processed in connection with star ratings. This information is used to measure overall user satisfaction and assess the impact of new features and improvements. Optional feedback is used to identify opportunities to improve the Barco Pulse Mobile App experience.

12. BPT (Barco Peripheral Test) for Alliance Partners

ClickShare Alliance Partners are companies that have entered into an agreement with Barco to ensure continued compatibility between ClickShare and partner peripherals (such as cameras and speakerphones). ClickShare releases firmware updates on a regular basis, and partners are required to verify compatibility of their peripherals with the latest ClickShare firmware. The BPT (Barco Partner Tool) web application supports partners in performing peripheral compatibility tests and submitting final test reports to Barco. BPT includes a companion software component (BPT Proxy Software) that complements the web application. Users must download and run the BPT Proxy Software to collect technical information from the ClickShare Base Unit and connected peripherals.

13. Barco CTRL

Barco CTRL is a software platform for control rooms that simplifies workflows, deployment, and serviceability. The platform enables users to securely connect to sources from any location and interact with content displayed on video walls or operator desks. Barco CTRL is an on‑premises solution, meaning the customer’s system administration team remains fully in control of all operational data processed within the system. An initial product activation is performed via activate.barco.com.

14. Encore3

Barco Encore3 is a screen management system designed for complex visual presentations and critical applications in corporate environments, broadcasting, and live events. Data generated through use of the Encore3 software relates solely to device configuration and technical parameters, such as resolution, video formats and input and output configurations of the Encore3 device. No personal data is generated or processed by the Encore3 device or by the management software used to configure event parameters.

An initial activation of the Encore3 device is performed via activate.barco.com. This activation is required to activate the associated software license, which enables access to specific features of the solution.

The Barco Video Wall Manager is a software application designed to create, configure, control and monitor multiple displays arranged in a video wall setup. Data generated through use of the Barco Video Wall Manager software relates solely to technical display settings, such as image processing parameters, display resolution, automatic colour and brightness adjustments at wall level and monitoring of the video wall’s health status. No personal data is processed by the Barco Video Wall Manager software.

16. SlideRightQA

SlideRightQA is an AI‑powered software solution that automates quality review of whole slide images (WSI) in digital pathology to help ensure that only high‑quality, diagnostically reliable images reach pathologists and to support process improvement. The application consists of two components: SlideRightQA Cloud and SlideRightQA On-Prem.

When a new WSI is scanned, a WSI passport is created. The image is copied and processed by AI models coordinated by the SlideRightQA On‑Prem component. The WSI passport and the AI output are sent to and stored in the SlideRightQA Cloud database.

Components and retention
SlideRightQA Cloud is the online service that gathers quality assessment and application usage data for whole slide images. The SlideRightQA Cloud database stores WSI passports for 60 days. Application logs are deleted after 6 months. Audit and access logs are deleted after 2 years. SlideRightQA On‑Prem is an on‑premises component that acts as a secure entry point for SlideRightQA Cloud and processes WSIs using AI models. Whole slide images are stored only temporarily in an “Image Cache” for minutes for analysis.

Categories of data processed
SlideRightQA On-Prem

  • WSI identification data: identifiers used in other systems (e.g., Image Management System (IMS)), such as case name, slide name, and physical slide ID (typically a bar‑ or QR‑code)

  • WSI clinical properties: staining type, service name, body part

  • WSI Patient Health Information (PHI): pixel representation of the label which may contain patient demographics (part of the macro image), whole slide image itself (pixel data)

  • Scanner data: scanner brand/type, serial number, time and other acquisition properties

  • Optional annotation data: annotator ID when manual annotations are added

  • AI output: detected quality issues and related properties (e.g., issue name, metrics, and location details)

SlideRightQA Cloud

  • WSI passport 

  • Authorization and authentication data for registered users

  • User contact/account data: name, email address, user group

    To provide support, Barco collects audit logs of user activity in the SlideRightQA Cloud web client (e.g., user login, configuration changes). Audit logs are encrypted at rest and subject to strict access controls. These logs are used to support troubleshooting and to maintain an audit trail for configuration changes (e.g., changes to quality metrics, users/permissions, and organizational structure). For support purposes, Barco also processes contact data such as name, email address, business address and phone number. At organization level, contact details of designated key users are processed to enable Barco to contact them for support purposes.

  • Product improvement
    To improve the product, Barco collects feedback when end users manually correct AI outcomes. This feedback consists of anonymised whole slide images.
    This feedback does not contain personal data and is processed based on Barco’s legitimate interest in continually improving its products

17. Swift Agent TFS-2

SwiftAgent TFS‑2 (“SwiftAgent”) is a browser‑based, all‑in‑one switcher for small to mid‑size events, combining screen management and autonomous camera control. SwiftAgent uses AI‑based active speaker detection to automatically select and switch camera views. Video streams are analysed in real time to detect and track persons and determine optimal framing.

The functionality relies on industry‑standard NVIDIA models (person detection, body pose detection, and facial landmark detection) and a face recognition model trained by Barco using commercially acquired datasets.

All video processing is performed locally on the SwiftAgent device in real time. No video footage, facial recognition templates, or personal identification data is stored or transmitted. Video frames are analysed transiently for camera control only and are immediately discarded.

Users can disable autonomous tracking at any time via the system settings and switch to manual camera control.

SwiftAgent processes technical and operational data such as device configuration, video formats, input/output settings and system logs. This data does not contain personal data and is processed locally for system operation and troubleshooting.

SwiftAgent applies appropriate technical security measures, including password‑protected administrator access, secure browser‑based management and encrypted network communications.

Barco myCinema is a cloud‑based self‑service portal for cinema customers and authorised partners to manage Barco cinema products, services and related operational data (myCinema). myCinema provides a centralised web‑based portal that may include, depending on configuration and entitlements:

  • Fleet, site, and licence management 
  • Device connectivity, status, and NOC monitoring 
  • Diagnostic upload and analysis 
  • Collection and visualisation of cinema device metrics 
  • Role‑based user access and permissions
