Barco CCTV privacy statement

Your privacy is important to us. This privacy statement tells you what to expect when Barco NV, a public limited liability company incorporated under Belgian law, with registered office at President Kennedypark 35, 8500 Kortrijk, Belgium collects data through the CCTV system.

1.    Who is responsible for the processing of your personal data?

Barco is the party responsible for the processing of your data. This means that Barco determines for what purposes and with what means your personal data will be processed.

Barco has appointed a Data Protection Officer (DPO) who will be your point of contact for any questions or requests regarding the processing of your personal data. The contact details of the DPO can be found under point 8 of this Privacy statement.

2.    For what purposes do we process your personal data?

Barco collects data through the CCTV system for various reasons:

  • To control access to the building and to ensure the security of the building, the safety of Barco staff, consultants, temporary workers and visitors, as well as property and information located or stored on the premises;
  •  To prevent, deter, and if necessary, investigate unauthorised physical access, including unauthorised access to secure premises and protected rooms, IT infrastructure, or operational information;
  • To prevent, detect and investigate a theft of equipment or assets owned by Barco, visitors or staff, or threats to the safety of personnel working at the office (e.g. fire, physical assault).

The CCTV system is not used for any other purpose, such as to monitor the work of employees or their attendance. It’s important to note that the location and positioning of the video cameras is not intended to cover the surrounding public space.

The cameras are aimed to give a general overview of what's happening in certain places, but the purpose is not to recognise people unless a security or data protection incident is involved. Nor is the system used as an investigative tool or to obtain evidence in internal investigations or disciplinary procedures unless a security or data protection incident is involved. (In exceptional circumstances, the data may be transferred to internal (e.g. Data Protection Officer) and external (e.g. police forces, the Data Protection Authority) compliance, security or investigatory bodies in the framework of data protection compliance, a formal disciplinary or criminal investigation).

The CCTV cameras are installed (i) at the building entrances, (ii) at the parking lots, (iii) inside the Barco building and are placed and focused in a way that only people who want to access the site or the annexed facilities including parking areas are filmed. The CCTV system covers the area of entry and exit points of the building, entry points inside the building and the outer area of the building. 

4.     Which personal data do we process about you?

Barco only collects images caught on camera, no sound or voice is recorded.

5.    Who has access to your personal data?

Imagery is retained in a secure environment and is only accessible by authorised personnel who have a legitimate reason to do so, being the dedicated facility staff of Barco and by the contracted security company.

The contracted security company has only access to the imagery, with a maxim playback limit of 4 hours.

Access to the recorded imagery is highly limited, being protected by a password. The recorded video data cannot be accessed without the positive advice of the DPO.

Barco does not sell or otherwise disclose your personal data collected for this purpose to third parties. Only government officials (police, fire department, judicial department, the Belgian data protection authority, etc.) can - only when required by law - request and receive access to the data footage.

6. How long do we keep your personal data?

We retain the personal data processed no longer than necessary for the purpose for which it was collected (including as required by applicable law or regulation).

Under normal circumstances your information could be retained for up to 30 calendar days after which point it will be deleted. Imagery required for investigative or evidential purposes may be retained beyond 30 days and is securely disposed of upon completion/conclusion of the purpose for which it has been retained.

7.    How are your personal data protected?

Barco strives to protect your personal data by means of technical and organisational measures, such as firewalls and secured servers that may only be accessed by a limited number of persons holding special access rights and with respect to the nature of the data.

Despite these measures, due care should be taken when storing and/or sharing your personal data and login, particularly when connecting via unsecure or public networks.

8.   What are your rights and how can you exercise them?

You have a number of rights with regard to your personal data, such as the right of access, the right to rectification of inaccurate personal data, the right to erasure or restriction of processing, the right to data portability, the right not to be subject to profiling and the right to object to the processing. Some of these rights have a very specific scope or are subject to special conditions or exceptions. You also have the right to lodge a complaint with the supervisory authority of your habitual residence, your place of work or the place of an alleged infringement. The Belgian Data Protection Authority is the supervisory authority for Belgium and can be contacted at contact@apd-gba.be.
